Follow-up and relationships

Build a follow-up system that does not depend on memory.

The goal is not to send more messages. It is to make the appropriate next action visible, timely, useful, and owned.

The minimum viable system

Every active opportunity needs

One current record, a meaningful stage, an owner, a dated next action, and enough context to make the next interaction useful.

Automation can support that process, but it should not replace judgment or create communication that ignores the person’s situation.

Six operating rules

  1. Capture inquiries in one queue.Route forms, portals, messages, calls, and referrals into one visible place.
  2. Set a realistic response standard.Define what happens during business hours, after hours, and when the agent is unavailable.
  3. Clarify the relationship stage.Use a small number of stages tied to behavior, not vague labels.
  4. Schedule the next action while context is fresh.Record the date, purpose, channel, and owner before leaving the current interaction.
  5. Give every touch a purpose.Clarify the need, answer a concern, share relevant proof, prepare a decision, or maintain a useful relationship.
  6. Review aging relationships weekly.Identify overdue next actions and records that no longer reflect reality.

Separate three rhythms

New inquiry response

Fast acknowledgment and an appropriate next step. The first message should establish context, not simply start a generic sequence.

Active decision follow-up

A short, intentional series based on the person’s timeline, questions, and agreed action.

Long-term relationship contact

Relevant communication for people who are not making an immediate decision, including past clients and referral relationships. This should not look like an extended new-lead campaign.

Follow applicable email and text consent requirements, fair-housing obligations, brokerage rules, and opt-out requests. A technically possible message is not automatically an appropriate one.
