CRM and system readiness
A CRM works only when the process around it works.
Before replacing the platform, determine whether the real gap is unclear stages, incomplete records, inconsistent next actions, or a system that asks too much of the people using it.

Who needs attention, why they need it, who owns the next step, when it should happen, and what changed after the action was completed.
If those answers are unavailable, do not assume the software is the only problem. A more elaborate platform can reproduce the same ambiguity at a higher cost.
Five operating checks
One owned record
Each active relationship should have one current record rather than conflicting details across an inbox, phone, notes, and multiple databases.
Meaningful stages
Stages should reflect a real difference in the relationship and trigger a clear behavior. Avoid long lists that no one applies consistently.
Dated next actions
An active opportunity without a dated next action is difficult to manage, regardless of the platform.
Practical adoption
The minimum required fields must be realistic during a normal workday. If updating the system is too burdensome, important information will remain outside it.
Decision-ready reporting
Reports should support a decision: where follow-up is aging, which sources produce qualified conversations, and which stage needs attention.
Before switching tools
- Define the minimum process.Write the stages, ownership rules, and next-action standard independently of any software.
- Clean only the active records first.Do not delay adoption by attempting a perfect historical migration.
- Run the process for two weeks.Observe where the workflow breaks during actual client work.
- Evaluate the existing platform against the proven need.Keep it if it can perform the job simply; replace it only when the limitation is demonstrated.
Confirm brokerage policy, data ownership, security, integrations, communication consent, and current pricing before adopting any platform.
